Position Statement

This role provides day-to-day administrative and executive support to the CEO and works closely with the Senior Executive Team (SET) and the Corporate Services Team to keep activities and priorities running smoothly. Aligned to the dynamic nature of RA-NT, this position requires a practical, organised, and can-do approach with a willingness and interest in supporting and delivering on a broad range of administrative tasks across the organisation.

The position reports directly to the CEO and provides organisational wide support relating to CEO-directed projects and tasks.

A strong ability to handle sensitive information, work respectfully with staff and external stakeholders, and maintain confidentiality at all times is essential.

 

Key Accountabilities and Deliverables:

Executive Support

  • Provide day-to-day administrative support to the CEO, including diary, email, meeting and travel arrangements, and coordinating competing priorities.
  • Support the prioritisation of incoming tasks for the CEO and ensure required information, documents, and briefs for meetings, events, and presentations are prepared.
  • Prepare internal and external communications, including drafting updates, meeting notes, correspondence, and organisational announcements.
  • Support CEO-led projects by gathering information, conducting research, and preparing summaries and supporting documents.
  • Assist the Senior Executive Team with organisational priorities, information flow, compliance and governance requirements, and general office administration as directed, in accordance with operational and strategic outcomes.
  • Collaborate with the Corporate Services Team to support office operations, record-keeping, reporting, and governance-related tasks.
  • Per direction of the CEO, provide general administrative support from time to time across the organisation.

Governance, Board, and Project Support

  • Provide administrative support for Board and Board Committees, including, facilitating invites and calendars, preparing agendas and papers, coordinating meeting logistics, taking minutes, tracking actions, and compiling reports and briefing material.
  • Assist with preparing tender documentation, grant submissions, and program registers by gathering information, formatting material, and supporting timely lodgement.

Stakeholder Engagement and Communications

  • Build and maintain positive relationships with internal staff and external stakeholders, including suppliers, service providers, and partner organisations.
  • Support coordination from time to time for events, stakeholder visits, forums, workshops, and organisational functions, including venue bookings, materials, logistics, and follow up tasks.
  • Assist with planning and delivering the AGM and other key organisational events.

Office and Corporate Support

  • Support smooth office operations, assisting with property management and through liaising with contractors and external service providers, as directed.
  • Provide coordinated support for brand implementation and social media activities, when required.
  • Carry out other administrative duties as requested by the CEO or Senior Executive Team.
  • Handle sensitive information with confidentiality and discretion at all times.

 

Qualifications and Experience:

Essential

  • Demonstrated experience providing a proactive executive or senior administrative support service, with exposure to supporting corporate governance principles, board procedures and compliance frameworks.
  • Strong organisational and time-management skills, with the ability to manage competing deadlines while maintaining accuracy and attention to detail.
  • Well-developed written and verbal communication skills, including preparing correspondence, meeting papers, meeting minutes, presentations, and routine executive draft internal or external communications.
  • Ability to identify and solve routine administrative issues using sound judgement, and to handle sensitive information with discretion and confidentiality.
  • Ability to work collaboratively and flexibly within a team, adapting to changing priorities and supporting executive leadership directed tasks as required.
  • Confident use of Microsoft Office Suite and other business systems, with experience maintaining registers, records, and office processes.
  • Experience building positive working relationships with suppliers, contractors, stakeholders, and internal staff to support office and property-related activities.
  • A proactive attitude and approach, with proven flexibility and adaptability, and enthusiasm for delivering a range of quality administrative services.

Desirable

  • Relevant qualifications in business administration, communications, management, or a related field.
  • Exposure to or understanding of Not-for-Profit organisations.

 

Requirements

  • A satisfactory Northern Territory working with children check (Ochre Card).
  • A satisfactory national criminal history check.
  • A commitment to our Safeguarding Children Practice and Behaviour Guidelines.
  • Comply with RA-NT employee organisational policies and procedures.
  • A commitment to the goals and values of RA-NT.
  • Current NT Driver’s License.
